Job Description

Real Estate Executive Administrator

PCS Home Group | Lacey, WA
W-2 | Full-Time | In Office

PCS Home Group is looking for a highly organized, proactive Executive Administrator with previous professional real estate experience to support the day-to-day operations of ou r real estate and property management business.

This is not a traditional receptionist or basic administrative position. We’re looking for someone who enjoys keeping people, projects, systems, and deadlines organized—and who is comfortable taking initiative rather than waiting to be told what to do next.

You’ll work closely with the owner and support multiple areas of the business, including real estate, property management, marketing, client experience, team operations, and business systems.

This is also an evolving role. As PCS Home Group grows, responsibilities may shift or expand based on the needs of the business, your strengths, and opportunities to improve our operations.

About PCS Home Group

PCS Home Group is a Washington-based real estate brokerage and property management company with a strong focus on relocation and serving military families, veterans, homeowners, buyers, sellers, investors, and tenants.

We believe in providing knowledgeable, compassionate service while making the real estate and relocation process as organized and seamless as possible.

  • Help the owner stay focused on deadlines, commitments, and high-value activities.
  • Track projects and delegated tasks and follow up to keep things moving.
  • Coordinate team meetings, training, onboarding, and recurring responsibilities.
  • Maintain company trackers, checklists, administrative calendars, and office resources.

Leads, Clients & Transactions

  • Manage lead distribution and monitor follow-up.
  • Maintain our CRM, including contacts, notes, tasks, stages, tags, and follow-up plans.
  • Prepare buyer, seller, pre-listing, and other client materials.
  • Help maintain a consistent client experience from initial contact through closing and beyond.
  • Assist with transaction checklists, deadlines, scheduling, communication, and follow-up.
  • Help coordinate past-client and sphere follow-up, client gifts, appreciation activities, reviews, testimonials, and other relationship-building efforts.

Marketing & Content

  • Help manage the company's marketing and content calendar.
  • Create social media graphics and marketing materials using Canva.
  • Coordinate social media content, property marketing, videos, newsletters, email campaigns, direct mail, and open-house materials.
  • Maintain company social media accounts, online profiles, website content, and presentation materials.
  • Research new marketing opportunities, platforms, and ideas.

Property Management Support

  • Provide administrative support to our property management division.
  • Maintain organized owner, tenant, vendor, and property records.
  • Help coordinate inspections, maintenance appointments, vendor access, and follow-up.
  • Track lease-related deadlines, owner communications, and recurring property management tasks.
  • Assist with preparation for monthly property management meetings.

Systems & Operations

  • Help create, document, and improve company systems and workflows.
  • Maintain organized templates, forms, shared files, checklists, and operational resources.
  • Identify opportunities to automate, simplify, or improve repetitive processes.
  • Assist with implementing and integrating new technology and workflows.
  • Help maintain our operations manual, policies, procedures, and job-related documentation.
  • Troubleshoot routine technology issues and coordinate with support when necessary.

Technology We Use

Our current technology stack includes Google Workspace, Follow Up Boss, Buildium, Brokermint, Asana, Discord, Canva, NWMLS, Flodesk, Zapier, and WordPress.

You do not need to know every platform on day one, but you should be highly comfortable with technology and able to learn new systems quickly.

Who We’re Looking For

The right person for this role is highly organized, detail-oriented, dependable, and comfortable managing multiple priorities. You should be someone who notices what needs to be done, follows through, communicates well, and enjoys improving the way things work.

You should also be:

  • Deadline-driven and able to prioritize competing responsibilities.
  • A strong written and verbal communicator.
  • Comfortable working independently with minimal supervision.
  • Proactive and willing to take initiative.
  • A problem solver with good judgment.
  • Professional, positive, and comfortable working with clients and team members.
  • Flexible when priorities change.
  • Able to maintain confidentiality.
  • Tech-savvy and comfortable learning new platforms.

  • Real estate administration or executive support

  • Real estate brokerage operations
  • Property management
  • Real estate marketing or client coordination
